This is a high function, multipurpose position with great opportunity for growth at one of the top 10 investment banking firms in the country. We are in search of a highly capable individual to handle light phone coverage, executive administrative support including arranging frequent executive travel (with clients) and heavy meeting schedules while on the road.



The right candidate will be outgoing, positively motivated, have a high standard of excellence and a strong work ethic. They will be proficient with Word, Excel, Power Point, have a general familiarity with Customer Relationship Management systems, possess excellent organizational and people skills and be attentive to detail.

Screens phone calls, mail, and visitors, answering questions and furnishing information when possible.

Handles travels arrangements and schedules meetings for multi-city trips in association with market services support.

Develops knowledge of the industry, organization, policies, procedures and staff in order to function under general instructions on a wide variety of projects.

Coordinates in-office activities, appointments and meetings, often dealing with high level executives/officials and their assistants.

Creates, types, proofs and distributes memos, letters, reports, and informational material, including documents of a statistical, technical and confidential nature.

Applies problem-solving skills to organize and expedite work flow through the executive office.

May prepare routine reports such as monthly or quarterly operational statistics to provide management with performance measures.

Creates and maintains reference and correspondence files/records, both computer and paper, to ensure orderly information storage and efficient retrieval as well as accurate, timely information for client contact, file review or other business needs..

Revises and distributes department manuals using provided materials to ensure that current policies, procedures and technical information are up to date and available.

Contacts vendors, clients or counsel to answer questions, request services or respond to inquiries within the scope of authority defined by management.

Perform related duties as assigned.



Qualifications:

• Knowledge of general corporate activities and executive office routines required.

• BA in Business Administration or Management preferred but not required.

• Experience functioning in an office environment in a support role.

• Accurate word processing and personal computer skills, minimum entry speed of 45 wpm.

• Knowledge and habitual use of correct grammar, spelling and punctuation, along with excellent proofreading capability mandatory.

• Ability to learn quickly and effectively communicate and disseminate information is essential.

• Strong competence with Microsoft Word, Excel and Power Point.
